Introduction

Tasks

  • Maintain accurate and complete lease and location-level records within Visual Lease, other lease management platforms and associated trackers, ensuring data is updated in a timely manner following lease events, amendments, renewals, terminations, rent changes and other relevant property updates.
  • Review, abstract and input key lease information from lease agreements, amendments, renewals and supporting documents, ensuring critical commercial, operational and financial terms are accurately captured.
  • Monitor and report on key lease dates and obligations, including expiry, renewals, break options, notice dates, rent reviews, insurance requirements and other critical lease commitments.
  • Support monthly lease validation activities, including reviewing validation reports, identifying incomplete or inconsistent data, following up with country teams and Finance, and helping resolve lease record discrepancies.
  • Support quarterly Visual Lease SOX control activities, including lease change reconciliations, validation of additions and amendments, coordination of regional review responses, and follow-up on outstanding confirmations or exceptions.
  • Assist with the reconciliation of Visual Lease data against lease trackers, source documents, payment information and other relevant records to support data accuracy, financial reporting and audit readiness.
  • Support the investigation and resolution of discrepancies relating to lease records, missing or incomplete documentation, property status, lease obligations, payment terms, MAG rent commitments, rent schedules, and other financial commitments.
  • Maintain audit-ready lease documentation and evidence, ensuring relevant lease records, approvals, correspondence, reconciliations and supporting documents are stored and retrievable when required.
  • Liaise with key stakeholders across US Technical Accounting, Country Accounting, Property Finance, SOX/Compliance, regional Property teams and local country contacts to support timely completion of lease administration, reporting and control activities.
  • Support the preparation of lease-related reporting for internal stakeholders, including lease status updates, critical date reporting, validation follow-ups, financial data requests, and compliance/audit information requests.
  • Assist with ongoing data quality improvements within Visual Lease, including identifying recurring data issues, supporting clean-up activities and helping improve consistency of lease information across the international portfolio.
  • Escalate material issues, overdue responses, missing documentation or control-related concerns to the Head of Properties / Property leadership in a timely manner.

Expectations

  • Bachelor’s degree or equivalent qualification preferred, ideally in business, law, real estate, finance, accounting or related discipline.
  • Minimum 3𠄴 years’ experience in lease administration, real estate administration, property management support, lease accounting support or a related real estate / finance operations role.
  • Experience using lease administration or property database systems, ideally Visual Lease or a similar platform, with the ability to maintain high volumes of lease and location-level data accurately.
  • Strong lease administration skills, including lease abstraction, lease record maintenance, critical date tracking, document control, data entry and reporting.
  • Experience supporting the preparation and maintenance of lease-related documents, including lease data, contract reports, amendments, renewals, terminations, and communication materials.
  • Understanding basic real estate, finance and accounting concepts, including rent schedules, lease obligations, financial commitments, and lease-related reporting.
  • Experience supporting audit, compliance, SOX, internal control or data validation processes would be strongly preferred.
  • Strong Excel and reporting skills, with the ability to work with validation reports, trackers, reconciliations and large volumes of lease data.
  • Strong written and verbal English communication skills, with the ability to liaise confidently with US Lease Accounting, Property, Finance, Accounting, Compliance, Legal, regional leadership, local country teams and external stakeholders across EMEA and APAC.
  • Demonstrated ability to manage multiple recurring deadlines, prioritize workload, maintain attention to detail, and escalate issues appropriately.
  • Able to work independently while collaborating effectively with cross-functional and cross-regional stakeholders.
